Integrated Document Management for QuickBooks®
If you want an easy way to manage your accounting documents with
QuickBooks, Right Networks is here to help.
X-Annotator, a QuickBooks add-on developed by Right Networks, allows you to easily manage financial documents
by letting you attach any number of documents of any kind to any entry within your QuickBooks data files.
Think of X-Annotator as a filing cabinet that automatically has a filing folder for each item
in your QuickBooks data file.
More Than Just Basic Features
X-Annotator, available since 2003 and currently in its third generation, delivers more than just
the basic features of letting you attach, detach, and view your electronic financial documents
so you can easily enter, validate, cross-check, and review your QuickBooks entries and
improve the quality and verifiability of your accounting operations.
X-Annotator also provides advanced features including support for multi-user work flow,
a clean interface for data entry and review, archival services, and
management of the actual storage of financial documents rather than just managing links.
QuickBooks Data Entry Work-flow Support
Designed with the help of accounting firms, X-Annotator allows a data entry manager
to assign collections of documents to each of their data entry personnel.
X-Annotator then presents the appropriate documents in a "Things To Do" list
specific to each of those data entry
personnel where they can process the documents, entering them into QuickBooks
and attaching the source document to each newly created QuickBooks entry.
X-Annotator delivers this process in a refined way
where the data entry manager simply uses the familiar Windows Explorer
to assign documents to their staff,
while the data entry personnel work on the documents they have been assigned
inside a straight-forward, clean workspace so they can focus on correctly entering data
rather than opening, closing, and re-arranging windows.
A True Filing Cabinet - Not Just Links
Unlike similar tools that simply manage links to your electronic accounting documents,
X-Annotator actually manages the storage of the electronic documents themselves,
moving and organizing the documents within folders created and maintained by X-Annotator
that are specifically designated for storage of these documents.
By keeping your documents in these specifically
designated folders, X-Annotator reduces the chance of them being deleted by accident.
In addition, since X-Annotator creates and maintains the storage using designated folders,
attachments are managed without any significant growth of your QuickBooks data file.
In addition, if you really just want to attach a link to a QuickBooks entry,
as ill-advised as this may be for document retention purposes, you can simply create a
Windows shortcut and attach it to your QuickBooks entry.
Attach to Categories, Not Just Entries
If you have documents that apply to an entire client, such as a service agreement,
or if you have agreements that apply to all of your employees, you can attach
them to the entire QuickBooks category within X-Annotator, eliminating the need to
manage this kind of documentation separately.
